HelloProf and Vectera have been working together for a couple of years. Even before the Covid-19 crisis, a lot of classes took place online with Vectera. Of course, the number of online sessions only increased during the past year due to the pandemic, but Vectera was already well implemented in HelloProf’s workflow.

Why did you choose to work with Vectera?
The last couple of years, there's been a huge increase in the demand for private tutoring. More and more students decide to pick up the pace during the year.
As education becomes more and more specialized, parents are not always able to help their child. For the most specific subjects, it’s sometimes even hard for HelloProf to find a tutor nearby. That’s where Vectera is a life-saver for us. With the option to offer online tutoring, students who need help from a tutor with a very specific skill set can be helped faster than before. And all that without having to drive across the country.
Vectera also optimises our internal workflow. Over the years, HelloProf has been building a network of independent tutors all over Flanders, Brussels and The Netherlands. All of these tutors go through a personal interview with one of our colleagues.
Before, this was a very time consuming part of our service. With Vectera, this process became streamlined and time saving. An appointment is quickly and easily booked by the new tutor through the scheduler and a meeting room for the intake is automatically generated. That’s time saved for both our organization and the potential tutor.
How did you implement Vectera into your process?
HelloProf was able to offer an all-in-one online solution to our students and tutors. Through Vectera’s API, we automatically generate virtual classrooms for each student where they can meet their tutor. Each virtual classroom has a dedicated URL and is browser based. So the students can use their mobile phone, tablet or computer to join the tutoring session, without having to install or download complex software.
On the other hand we streamlined the intake process for new tutors as explained above. During the interview, the tutor’s resume and qualifications are easily shared in the meeting room. The tutor can upload all necessary documents required for review and even sign the contract if the tutor has been approved.
