Vadecas is a young, growing and above all ambitious accounting and advisory agency. Vadecas supports both companies and private individuals regarding administration, accounting, finances and taxation.

Why did you choose to work with Vectera?

Generally speaking today’s most important trends in accounting and finance are the changes in time use by increasing automation. Recurring tasks such as gathering clients’ invoices or the booking of details take up less and less time. New technologies and automated connections between software packages enable employees to reduce the amount of time spent on input and other recurring tasks. What is more,the landscape of tax and company law in which SME’s and larger (international) companies have to operate is constantly changing as well.

Most clients have already completed their own research before seeing an accountant. Many clients, however, do require a personal meeting in order to measure their case against applicable laws and regulations. 

With Vectera we’re able to get in touch with our clients right away and give them advice in a personal way.

How did you implement Vectera into your process?

Due to the increased share of specialist services and consultancy as a result of i.e., Brexit, renewed company law and other major amendments of the law, there are more client appointments.

Before Vectera, every hour of consulting required at least half an hour of preparation through email – both on Vadecas’ end and on the client’s end – time that is obviously not billable. Connecting the Exchange calendar with the Vectera scheduler made it possible to ask clients to schedule an appointment. Via Exchange, Vadecas’ availability is verified and only relevant time slots are shown. By applying several ‘appointment types’ new clients can, for example, only schedule an appointment on Thursdays or Fridays and existing clients will only receive an invitation to schedule an appointment once their file is ready for a quarterly meeting or a meeting about the annual balance.

The client connection established with the help of interactive video conferencing is much stronger than the one established through the sole use of email or telephone communication. What is more, the client saves precious travel time as they don’t have to come to the office.

Bigger appointments, like a meeting about the annual balance, are still being held at the office, but Vadecas notices an increase of smaller, intermediate appointments thanks to the video conferencing.

“Vectera sets itself apart from more general video conferencing solutions like Skype because of its ‘persistent rooms’. Every client has a private virtual meeting room in which Vadecas and the client can meet, take notes, discuss diagrams and much more. Once the meeting is over, everything in the room is saved automatically and remains available. The client can still access the notes on, for example, a complex calculation of usufruct of a property by simply returning to the meeting room.”
